Hospitalist Practice Administrator

ABOUT THE POSITION
Aligned Providers Wyoming seeks an experienced Hospitalist Practice Administrator dedicated to overseeing the daily administrative processes and assisting with the management of APW’s hospitalist providers, as well as liaisoning between APW and site Medical Staff Office(s). This role is accountable for providing direct support to the Medical Director and will be an integral part of our leadership team by acting as the main resource and contact in the daily operations and activities in the department.
Basic Details:
- This position will report to the Practice Administrator Manager
- This is an on-site position with an annual salary of $55,000
- Eligible for elective medical coverage and benefits, including retirement
- 15 workdays (120 hours) of PTO annually with 2 floating holidays (16 hours)
Essential Responsibilities:
- Oversee day-to-day activities; assist with scheduling, including shift coverage as needed, and review schedules
- Generate monthly schedule breakdowns
- Provide support to APW Regional Scheduling Coordinator and site Medical Directors as
needed - Reinforce policies and procedures to ensure that all providers follow and adopt site policies
and procedures - Act as liaison to all third-party vendors
- Assist in recruitment and credentialing processes as needed
- Coordinate the daily work schedules of site leadership to efficiently make appointments and
generate virtual meetings. This will require attendance to record meeting minutes - Monthly data extraction. Collaborate with the leadership team to identify quality initiatives
and manage quality metrics, including tracking, reporting, and posting - Manage the provider orientation process, to include education of new staff and working with
MSO’s to assist with orchestrating hospital specific orientation processes. This may include
preparing travel arrangements - Collaborate with the Provider Recruiter(s) to organize and schedule interviews. Follow
recruiting processes and provide support to APW’s Recruiters - Prepare provider evaluations. Schedule, prepare, and document necessary data for all evaluations; attendance records, throughput metrics, areas for improvement, awards & recognitions, etc.
- Promote effective working relationships to help facilitate meeting department goals and objectives
- Perform chart reviews. Ability to effectively utilize EMR to review charts for completion, or missing items if applicable, such as H&P’s, physical exams, signatures, etc.
- Monitor delinquent charts for submission and coordinate with medical records for timely billing
- Effectively communicate essential information to and from providers regarding client updates, HR information, leadership and operations, etc.
- Promptly forward provider inquiries to the appropriate department and/or contact
- Maintain close relationships with site department leadership
- Prioritize patient satisfaction by following up when needed, coordinating
appointments/scheduling discharge follow-up appointments, assisting with placement of
patients based on their proximity and needs - Other site-specific responsibilities as assigned by site Medical Director and/or site
administration

Education: Associates degree in related field; bachelor’s degree highly preferred
Experience:
- Five+ years’ related experience
- Healthcare industry experience a plus
- Experience in practice administration and personnel
management in a similar environment - Experience with EMR
- Knowledge of provider credentialing and enrollment
- Physician management operations
- Proficient with Microsoft applications; Word, PowerPoint, Excel,
Outlook, SharePoint - Administrative experience
- Leadership and effectively collaborating with executives

Physical Requirements
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of the arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Normal office environment, may work under stressful circumstances at times
